Managing Enrollments

Where you can find and manage Learner Enrollments in the Arist Platform.


The Learners tab provides a high-level overview of all Cohorts and Learners, as well as the ability to drill down into individual Learner records to pause or resume enrollments and more!

In the case where a Learner or Team member comes to you with questions or concerns regarding their enrollment, knowing what you can do to help is key. We will outline all the capabilities at your fingertips in this article.



Finding your Learner's Enrollments:


Go to the Learners Tab:

Click the Edit Icon next to your chosen Learner:

You will see an overview of the Learner's Details, Enrollments, Cohorts, and Address Values on this page. In this article, we will discuss Enrollments only.

Under Learner Details, you will find a table containing your Learner's Enrollments:

This section displays current enrollments, completed enrollments, and canceled enrollments. It will categorize each enrollment by Address, Distribution, Course, and Id:

  • Id: This is the unique enrollment ID assigned to each enrollment. When troubleshooting enrollments, this is the most important piece of information you can share with our Support team.

  • Course: The Course in which the learner Enrolled. This is important to note if a Learner makes a request for missing content or flags a display issue with one of your course modules.

  • Distribution: The Distribution that is delivering the course. If a Learner is receiving messages at unexpected times, it is worth checking out the Distribution settings to see if anything needs to be changed.

  • Address: The address the Learner used to enroll in the course. Sometimes Learners input a wrong number; this is where you can check to make sure they entered the correct address to receive your course content.

  • Cancelled: This column will display the status that enrollment was paused. Enrollment can be paused by the Learner by messaging back "STOP" while taking a course, and it can be unpaused by messaging back "UNSTOP" in the same thread. You can also pause an enrollment by clicking the Actions drop-down list next to an active enrollment in this table and selecting "Pause." Clicking the "Resume" from within the Actions drop-down list will resume the enrollment where it left off and remove the cancelled status.

  • Completed: This column will display the date that an enrollment was completed. An enrollment is marked completed when all course content has been delivered.

Active vs. Cancelled vs. Completed:


In the table below you can see an example of every enrollment status a learner can have.

Active Enrollment:

An active enrollment will not have a canceled or completed date displayed. It will have a "Actions" drop-down list, and inside of that list, it will show "Pause" and "Cancel" actions. This means the Learner is still in the middle of taking a course or has just started the course.

Cancelled Enrollment:

A cancelled enrollment will have a canceled status displayed under the Status field.

An Enrollment in this status Paused has either been paused by the Learner or an admin. As an Administrator a Course can be resumed by clicking the Actions drop-down list next to the Course of choice, then selecting Resume.


Note: If the course is resumed, the Learner will continue to pick up where they left off in the course and receive the remaining course content based on the Distribution settings and/or the time they selected when they first enrolled.

Completed Enrollment:

A completed enrollment will display a completed status. This means the Learner received all course content. Completed enrollments cannot be paused or resumed, and the Learner simply has to be re-enrolled in the course if they want to take it again.
