Enrolling Cohorts

Arist gives Admin and Schedule level users the power to enroll entire Cohorts of learners into Courses. In this article, we will go over the process of enrolling Cohorts, as well as cover some basic concepts and processes.

The first thing to consider when enrolling a Cohort in an Arist is course is your Schedule Settings.

Preferred Delivery Method:

The Preferred Delivery Method dropdown in your Course's Schedule Settings allows you to choose the default delivery method for any Cohorts or Individuals you manually enroll in a course.

You can access and edit this feature for a particular Schedule by going to Schedules:

Then Click the Edit Icon:

From here, you can choose your 'Preferred Delivery Method' and then click Publish:

Enrollment Options:

This will take you to the Enrollment Options View. From here, choose the Enroll Cohorts dropdown:

Choose your Cohort(s) to enroll by selecting them from the dropdown . Then click Enroll:

And there you have it! All Learners in that Cohort will be enrolled in your course via the Preferred Delivery Method you selected.

Special Cases:

There are a few cases to consider when Enrolling Cohorts.

  • Learners who already have active enrollments in your Schedule will not be enrolled.

  • New Learners added to the Cohort will not be automatically enrolled, so periodically, when new Learners enter your Cohort, you will need to repeat this enrollment process.

  • If a Learner in your Cohort doesn't have an address value to match the Preferred Delivery Method, then Arist will still enroll them in the course; we will just use the most recently added address for that Learner in order of priority SMS > WhatsApp > Email.

    • Example 1: If your Preferred Delivery Method is SMS and a Learner in your Cohort only has an Email Address, they will be enrolled in your course via Email.

    • Example 2: If your Preferred Delivery Method is SMS and a Learner in your Cohort has an Email Address and a WhatsApp number, they will be enrolled using the WhatsApp number.

    • Example 3: If your Preferred Delivery Method is SMS and a Learner in your Cohort has an Email Address and 2 different WhatsApp numbers, they will be enrolled using the WhatsApp number that was most recently added to their learner record.
