Connecting Arist to Teams: Legacy Method

This document walks you through how to install the Arist Teams Bot to your Microsoft Teams group so you can push out Arist learning experiences to your employees on Teams. If you've upgraded to the new Teams application then you should follow these instructions instead to install your Teams Policy.

Step 1: Permissions set up

Read through these instructions first, to ensure permissions are set up properly to allow for installing the Arist Teams Bot from the Microsoft App store.

Once you have properly set up permissions to allow for adding the Arist Teams Bot to your Team, proceed to the next five steps to complete your integration.

Customizing your Teams Permission Policies

  1. The first step is to get your organization's Teams administrator (any user with Admin access to the Teams Admin dashboard) to enable Third-party apps for your organization.

  1. Navigate to the admin dashboard, available at admin.teams.microsoft.com/dashboard

  2. Click on Teams apps and then Permission policies

  3. Next, click on Global (Org-wide default)

  4. Ensure that the dropdown menu under 3rd Party apps is toggled to Allow all apps, then hit Save.

  5. Please note that permissions updates in Microsoft Teams may take up to 24 hours to propagate fully across all Microsoft Servers. It is best to not launch a course until 24 hours have passed since permissions have updated.

4b (optional): If you prefer to only allow specific apps, you can choose: Allow specific apps and block all others.

4c (required if you follow the steps in 4b): If you choose to allow only specific apps be sure add Arist, by clicking +Add apps and choosing Arist.

5. Next, under Teams apps on the sidebar, click on Manage apps, ensure that Arist is Status: Allowed

6. Now the Arist App will be available to add to your individual Teams Groups.

Custom Permissions Policies:

Sometimes, companies set up custom permissions policies on a group by group basis. If this is the case at your company, please follow the above steps on each custom permission policy that governs a Teams Group where you would like to install Arist, to ensure the app is allowed.

  1. Select Permissions Policies under Teams Apps:

2. Select the policy you want to edit to allow Arist, and ensure 3rd Party apps are toggled to Allow all apps, then hit Save.

3. Next, go back to Permissions Policies and make sure all users who need to receive Arist Course Content are added to the policy. Choose the Policy where you want to add users and click Manage Users, then Assign Users:

4. You can then search users by name and add them to the Custom Permissions Policy:

5. It is quicker sometimes to add a Custom Permissions Policy to a Group. Microsoft has instructions here on the various ways you can associate groups and users with Custom Permissions Policies.

Adding the Arist App to Individual Teams

  1. Select the Teams Group where you want to add the Arist App, then click the 3 Dots to the right of the teams group name. Then select Manage team:

4. Search 'Arist' in the search bar in the top left corner of this page, then click on the card with the Arist logo and description:

5. A pop-up will appear with a detailed description and our permissions. Click the purple Add to a team button:

6. Your current team's group name will show on the next screen, ensure its correct and then click 'Set up bot'

7. Upon successful installation, the team's group members will receive a welcome message in the group chat for the team's group:

8. Go back to your Arist Dashboard and navigate to Cohorts in your left navigation. You will see a cohort with all members of your team's group. It will be named Teams Group: [Teams Group ID number]. You can customize this by clicking the edit icon for the cohort and updating the name:

How Teams will work compared to text

  1. Teams will allow your organization the flexibility to use an already-established medium of communication for learning purposes.

  2. The course content will be analogous to that of a text-based course, except it will be available through a direct Teams chat.

    Sample course day for a learner on Teams

  3. Learners can sign-up for courses via a link or QR Code by entering their Teams-affiliated email address instead of their phone number during the sign-up process.

    1. The Teams button will only be added to the sign-up form ****if the organization already has Teams set up with Arist

  4. The analytics and reporting of courses through Teams will also follow the same conventions as our text-based courses — all such analytics is viewable in your organization's dashboard on the Arist platform.

  5. Admins can enroll Cohorts in Courses delivered through teams directly in the Arist Dashboard.


Step 2: Retrieve your Teams Tenant ID

First, go to the Team you want to enroll in Arist. Upon installation of the Arist Bot, all members of a team are automatically imported. We recommend creating a team including only the Learners you want to have in Arist.

Click the three dots next to your team name and choose 'Get link to Team'

The Tenant ID will be in the URL string after '&tenantID='

Copy this string of numbers and letters, then navigate to your Arist Org.

Step 3: Share Tenant ID with Arist

Go to Settings in your left navigation, then click the Integrations tab. From here, you can enter your Teams Tenant ID and click Save.

Step 4: Administrator checks installation permissions for your Teams Group

  1. Have an Administrator of your company's Microsoft office account will need to follow the steps in this Teams installation document.

  2. Once these steps are completed by an Admin, continue to Step 4 to install the bot to your desired Teams Group(s.)

Step 5: Add the Arist App to Individual Teams

  1. Select the Teams Group where you want to add the Arist App, then click the 3 Dots to the right of the teams group name. Then select Manage team:

Step 6: Confirm successful installation

Confirm the installation by checking if the Teams users from that group were properly imported to Arist. How to do this:

  1. Go back to your Arist Dashboard and navigate to Cohorts in your left navigation.

  2. You will see a cohort with all members of your team's group. It will be named Teams Group: [Teams Group ID number]. Note: You can customize this by clicking the edit icon for the cohort and updating the name:

Congrats! You've now successfully installed the Arist Teams Bot and can now push out learning to your employees over Teams.
